How to add refund to the payment plan (for trips, excursios, etc.)
refund of the whole fee, refund of the part of the fee, reduction of the fee
School often makes various trips, excursions, skiing trips, etc. Sometimes is the whole trip cancelled or some students have to cancel the trip due to illness. In these cases there is need to add refund to the payment plan.
How to add refund to the payment plan:
1. Payment plan
- open the existing payment plan
- add another fee clicking on button +Add fee
- set the maturity date
- name added fee as a refund
- setting the sum of fee varies in different situations:
a. the whole trip was cancelled = whole amount of money needs to be returned to all students
---> sum for the refund is original sum but with minus sign
b. the trip was accomplished but some students got sick = you need to return money just to some students
---> sum of the refund is 0
---> open the list of payers and for the specific students add the original sum with the minus sign
c. the trip was accomplished but the whole sum for the trip was reduced = you need to lower the sum from the original one to the reduced one
---> enter an amount that will reduce the total fee with the minus sign
d. combination of c. and b. - the trip was accomplished but the whole sum for the trip was reduced and some students got sick = you need to lower the sum of the original one to the reduced one and return the whole amount of money to some students
---> enter an amount that will reduce the total fee with the minus sign
---> open the list of payers and for the specific students add the original sum with the minus sign
2. Payments
- as soon as you return the money to the participants you can record the debit payments in EduPage - Return payments - How to record return of overpayment/payment
What happens after recording the debet payments?
---> the set fees and recorded payments can thus be matched with each other
---> parents and students can see that fees are paid and student´s account is balanced
